Most calls to a school office are not complaints. They are questions with short answers: what is the fee balance, was my daughter marked present on Tuesday, when is the exam, did the trip form go out.

Each one takes a few minutes of somebody's time at the counter, and a parent who could not get through calls again. The office is not busy because the work is hard. It is busy because it is the only route to an answer.

The family portal exists to remove that route by making the answer available directly. The measurable outcome is not parent satisfaction in the abstract. It is fewer calls about things a parent could have looked up.

The cases most systems get wrong

Family portals are usually built for one parent with one child at one campus. Real families are not shaped like that.

Two parents who both want access. Separate logins to the same children, not a single shared password that neither wants to change. Where parents are separated this stops being a convenience and becomes a requirement.

Children at different campuses. One at the primary campus, one at the secondary. Access is per campus, so a parent signs in to each campus separately today. Worth raising early if it affects you, because it changes how you would roll this out to families.

The payment made against the wrong child. A family pays one amount for three children. If the portal cannot show how it was applied, the parent phones to ask, which is exactly the call the portal was meant to prevent.

The parent who does not use apps. Portal-only communication silently excludes them, and they are often the parents who most need reaching. The portal has to be one channel among several, not the only one.

What it shares records with

A parent sees the attendance the teacher marked and the fee balance the office recorded, at the moment those things happen. Nothing is re-entered for the family portal and nothing is published to it on a schedule, which is why the answer a parent gets matches the answer the office would give on the phone.

That correspondence is the whole point. A family portal showing slightly different numbers to the office generates more calls than having no portal at all.

Questions we get asked

Can both parents have their own access?
Yes. Separate access per parent or guardian, to the same children, rather than one shared login.
What if our children are at different campuses?
Access is per campus today, so a parent with children at two campuses signs in to each one separately. We would rather say that plainly than have you discover it after enrolling families.
Can parents pay fees online?
Where a supported payment gateway is available in your country. Coverage is not universal, so we confirm what applies to your region before you commit rather than after.
What about parents without a smartphone?
The portal should be one channel, not the only one. Institutions that move entirely to portal-only communication tend to lose contact with the families they most need to reach.
Will this actually reduce calls to the office?
For the routine questions, yes, and those are most calls. It will not reduce the calls that need a conversation, and it is not meant to.
Can a parent see another child in the class?
No. A parent sees only the children linked to them.
